ACI corporate parent Meeting Expectations has managed the Hexaware Annual Client Summit for two years and has worked with the Hexaware team to outline the meeting objective to ensure the ideal venue and city are selected each year. The Client Summit is generally hosted at 5-star properties in resort locations. Meeting Expectations developed a comprehensive request for proposal that would provide Hexaware with all the items they need to evaluate locations and make a decision. Our site selection specialists worked with national sales contacts to ensure we could keep the Client Summit meeting request within the budgetary requirement that was set forth by the client.

Solution:

We researched and outlined several options for the Hexware Client Summit venue. The site selection team was able to negotiate a group rate at a 5-star beach property in Florida for the spring from $435 down to $285, along with complimentary fitness center and internet access. The room rate was 49% lower then the executives expected, compounded with a golf rate reduction of 22% and spa treatments reduced by 10%.

Results:

Our site selection team presented a complete outline of savings for the hotel contract for the Hexaware planning team to seek approval from the executives. The savings that our meeting experts negotiated for the client totaled over $70,000 off the initial contract.
